Yedyna Shkola provides teachers, students, and their parents with tools for accessing electronic services of the educational process management system: it supports paperless school documentation, the creation of students’ electronic diaries, monitoring of academic performance and attendance, ensures the storage of educational data in a secure cloud environment, facilitates the organization of distance learning, enables interaction between educators and parents, improves educational management, and contributes to the development of a digital educational space within the territorial community. Information systems for managing educational institutions are part of the internal quality assurance system of education (Article 41 of the Law of Ukraine «On Education»), therefore, the implementation of Yedyna Shkola positively affects the evaluation of school performance and the creation of its positive image.

The Yedyna Shkola system is successfully used in public and private schools in various cities of Ukraine. The system is available to all educational institutions regardless of their form of ownership, provided that a positive decision is made by the Pedagogical Council, which, within the framework of institutional autonomy, is responsible for issues related to improving the educational process and participation in innovative activities (Article 40 of the Law of Ukraine «On Complete General Secondary Education»), as well as the use of information and communication systems (electronic educational platforms), online communication services, and tools used to organize the educational process during distance learning (Order of the Ministry of Education and Science dated 08.09.20 No. 1115). The System has been used since 2019 within nationwide and regional experiments in accordance with decisions of executive authorities in coordination with education authorities and educational institutions. It is also possible for educational institutions within a single community to join the System, which promotes the development of a modern educational environment and a unified information educational space within a specific territory, enables interactive communication among all participants in the educational process, and ensures transparency in the activities of educational institutions.

In the case of connecting to the Yedyna Shkola system:

  1. for educational institutions within a certain territory at the initiative of local authorities or as part of an experiment: the issue of a school joining the System is decided with the relevant education authority, after which a representative of the educational institution submits an application for connection;

  2. for an individual educational institution on its own initiative — the application for connection must be completed by a representative of the institution (the principal or their deputy). The entire school or selected classes (streams) may be connected.

If an educational institution wishes to join the System, it is necessary to fill out the appropriate form on the «Yedyna Shkola» website via the provided link — an application for connection to the System.

To start working, it is necessary that:

  1. a representative of the educational institution completes the Application for connection to the System and receives the relevant instructions;

  2. the educational institution issues an Order on the implementation of the system and appoints a system administrator at the school;

  3. the system administrator and teachers complete training on working with the System modules;

  4. the system administrator registers in the System and organizes the creation of a database of teachers, students, and their parents, as well as the configuration of the educational process in the System.

To access «Yedyna Shkola», it is necessary that:

  1. the educational institution where you work is connected to the System;

  2. you provide the educational institution with consent for the processing of your personal data in the System;

  3. the system administrator enters your contact details into the System database, after which you will receive an email with an access code to confirm your email address and create your own password for accessing the System.

To work in «Yedyna Shkola», it is necessary to have appropriate devices (a smartphone or tablet for working with the mobile application, a personal computer or laptop for working with the web application), a stable internet connection, and, if necessary, network equipment. For conducting online lessons, it is also advisable to connect a webcam and a microphone.

When working on computers (laptops), the interface of the web applications of the «Yedyna Shkola» System is compatible and functions correctly in modern web browsers: Google Chrome, Mozilla Firefox, Opera, Safari. To use the mobile applications, smartphones are required:

  1. with an Android operating system version not lower than 23 (6.0), or

  2. with an iOS operating system version not lower than 13.0.

You can download the mobile application from the App Store or Google Play by entering the name «Yedyna Shkola» in the app store search field, or by going to its pages from the «Yedyna Shkola» website. No additional software is required to access the web application. You can access the web application from a computer, laptop, or tablet through a single entry point by clicking the «Login» button on the homepage of the «Yedyna Shkola» website.

For the mobile application to work correctly, your educational institution must be connected to the System, and you must be registered and authorized in the System. If you are authorized in the System but cannot log in, check the login format — your phone number («380…» without “+” and without spaces, starting with the digit “3”) — and make sure the password is entered correctly. Otherwise, contact the Support Service. If you are not yet authorized in the System, contact the system administrator at your school to verify that your email address and mobile phone number were entered correctly during registration in the System.

You can change your password in the user profile of the mobile application. It is necessary to keep your System access credentials (login and password) confidential and prevent their use by third parties in order to avoid unauthorized access. Please, when using school devices that may be shared by multiple teachers, do not allow your login and password to be saved in the device’s memory to prevent third parties from accessing the System using your authorization data.

The System uses a single password to access both its web and mobile applications, with differentiation of user rights depending on their role in the educational process. In the web application, the System provides access to the functionality you choose via the appropriate link or through a single entry point. In the mobile application, you need to select the type of access you want at the moment of use: “Teacher” or “Parent”.

«Yedyna Shkola» helps teachers automate most of their work, provides access to journals from anywhere at any time, allows the simultaneous creation of multiple documents through one-time data entry, enables lesson planning using artificial intelligence, and facilitates communication with parents. In emergency situations, it allows lessons to continue remotely. Working in the System reduces the digital gap between teacher and student and improves teachers’ digital competence. We provide comprehensive support to simplify the onboarding of educational institutions and reduce teachers’ workload.

As early as 2016, the Ministry of Education and Science instructed to discontinue the practice of duplicating documents created in electronic form on paper (Order of the Ministry of Education and Science dated 22.12.2016 No. 1593). The records management guidelines in general secondary education institutions allow schools to create documents with a temporary retention period (up to 10 years inclusive) exclusively in electronic form, provided that appropriate technical support is available and in compliance with the legislation of Ukraine (Order of the Ministry of Education and Science dated 25.06.2018 No. 676). The retention periods for school journals are 5 years (for graduating classes – 10 years), as defined by regulatory decisions of the Ministry of Education and Science and the Ministry of Justice, which indicates the possibility of discontinuing the use of paper journals. The educational institution independently decides whether to maintain school journals exclusively in electronic form.

In the records management of educational institutions, a unified records retention schedule is used to systematize documents on both paper and electronic media. Maintaining the records retention schedule in electronic form is allowed (Order of the Ministry of Justice dated 11.11.14 No. 1886/5). After the end of the academic year, the head of the educational institution has the option to:

  1. print the electronic journal on both sides of the sheet, displaying all elements typical of a paper journal, bind and number it, certify it with a signature, and submit it for archival storage;

  2. sign the electronic journal with a qualified electronic signature (QES) and store it in the “File Archive” module of the System for the same retention period as the paper version of the document;

  3. export the electronic journal file from the System, sign it with a QES, and store it on the institution’s electronic storage media. In this case, it is recommended to duplicate the electronic journals on multiple storage media and periodically back them up, with mandatory verification of data integrity on each medium.

The electronic journal for each class is generated automatically after the system administrator creates the database of the educational institution and configures the educational process in the System (class schedule, duration of the academic year, etc.). All users receive their respective access levels:

  1. a subject teacher — access to their schedule and to the pages of their subject in the electronic journals of the classes they teach. In the electronic journal, the teacher views their schedule, promptly sees substitutions, conducts online lessons, assigns grades, fills in lesson content, and provides homework;

  2. a class teacher can view the electronic journal of the students in their class, record reasons for student absences, and monitor their academic performance;

  3. the school administration has access to the data of electronic journals for all classes. Using the electronic journal, deputy principals can perform administrative functions, monitor the conduct of online lessons, and check how teachers maintain journals (leave comments and verify that they are addressed).

The requirement for grade confidentiality is strictly observed in the System. A student’s academic achievements are accessible only to the student and their parents. Neither parents nor students can see the grades of other students in the class. The teacher records grades in the electronic journal, which, in accordance with the regulatory documents of the Ministry of Education and Science, is also accessible for viewing by the class teacher, the school principal, and their deputies.

Data entered into electronic journals can be corrected/adjusted by teachers who have such rights when maintaining paper versions and are granted these rights in the System. A teacher has the right to edit grades within a single topic — until the thematic grade is assigned. Editing a grade after the thematic grade has been assigned is carried out with the entry of the principal’s password (key). The System allows the teacher to record the reason for changing a grade. Access to the history of grade changes is available to deputy principals and teachers.

A grade for a specific type of assignment (including written work) may be assigned within the time frame предусмотрен the standards for checking such assignments (including cases where checking takes several lessons or a certain period). Assigning grades “retroactively” is allowed only until the thematic grade for that topic has been issued.

Yes, if you believe that such a lesson will be clear and accessible for students’ understanding. To do this, you need to create an additional cross-class group, assign to it the students from the classes in which you plan to conduct the online lesson, and contact the system administrator to create the appropriate lesson schedule for these classes.

Yes, you can provide links to learning materials, tests, and other materials created on external resources by including them in the homework. You can also attach text, video, audio, and image files in various formats to the homework.

In the «Yedyna Shkola» System, a student can attach their files in any format as a response to homework. To view the files, the teacher needs to download them to their own device.

TATL TECHNOLOGY LLC owns the proprietary rights to the Information and Communication Automated System «Yedyna Shkola» in accordance with the copyright agreement on the transfer (assignment) of proprietary rights to the work, as confirmed by the decision of the Ministry of Economic Development on the registration of the agreement concerning the author’s rights to the work (dated 05.03.20 No. 4850).

The «Yedyna Shkola» System is approved for use in educational institutions. The System has been tested במסגרת national and regional-level experiments (orders of the Ministry of Education and Science No. 341 dated 13.03.19, No. 895 dated 19.06.24, as well as No. 1358 dated 06.11.23 and other decisions). «Yedyna Shkola» complies with the requirements for electronic educational information systems and is connected to the AICOM software and hardware complex under an agreement with the State Scientific Institution “Institute of Educational Analytics” (No. 3 dated 31.07.23). Currently, LMS systems such as «Yedyna Shkola» are not subject to formal certification, however, the System has received the endorsement “Recommended by the Ministry of Education and Science” under the legislation in force at the time of issuance (letter of the Ministry of Education and Science No. 1/11-9213). The System complies with sanitary legislation requirements and can be used by teachers, parents, and students, as confirmed by the conclusion of the state sanitary and epidemiological examination (No. 12.2-18-1/20171). The System has an integrated information protection system, confirmed by the Certificate of Compliance for the Comprehensive Information Security System (No. 23120).

The System has a Certificate of Compliance for its comprehensive information security system. The databases of the «Yedyna Shkola» System are stored in Ukraine in a secure cloud environment, which also has a certificate of compliance for its information protection system.

The System is designed to prevent the most common security vulnerabilities and to ensure protection of information from unauthorized access, destruction, modification, etc. This is achieved through the implementation of organizational and administrative measures, hardware and software, and engineering controls, including the use of the secure HTTPS data transfer protocol, verification of user permissions for performing specific actions, logging of events related to access to the System’s services, results of user identification and authentication, and integrity checks of the System’s databases. The System also provides for automatic analysis of its current state and recovery of operability, as well as automatic data backup.

The organization of work in the System complies with personal data protection legislation. Educational institutions must inform teachers and parents about the processing of their personal data in the System and obtain consent for such processing. The scope of data is limited to what must be included in school paper documents according to approved templates. Measures are defined for data anonymization in case consent is not obtained.

When an educational institution is connected to the System, a schedule is agreed upon for conducting mandatory training (in-person or дистанційно) for system administrators, class teachers, and teachers, which is delivered by specialists of TATL TECHNOLOGY LLC. During operation, additional training sessions (webinars) can be organized upon the school’s request. Users of the educational institution receive electronic versions of methodological recommendations and user guides (or links to their location), as well as links to video lessons. If needed, teachers can contact the support service or join weekly online consultations at scheduled times via the homepage of the «Yedyna Shkola» website.

The System provides users with 24-hour access to its services via the Internet, as well as technical support during working hours, except for summer holidays and periods of scheduled (technical and maintenance) work. You can contact the support service by sending a message directly on the «Yedyna Shkola» website https://eschool-ua.com/ (by clicking the “Contact Support” button), by emailing [email protected], or by sending a message directly through the electronic journal.

The Electronic Diary for parents is a tool for engaging parents in the educational process by allowing them to view their children’s class schedules; access their grades; monitor school attendance and homework completion; analyze their children’s academic achievements based on performance statistics; stay informed about current school news and events; and maintain interactive communication with both the homeroom teacher and all teachers.

To access the Electronic Diary, the following conditions must be met:

  1. the educational institution where your child studies must be connected to the System;

  2. you must provide the school with consent for the processing of your personal data and your child’s personal data in the System;

  3. the system administrator must enter your data and your child’s data (phone number and email address) into the System, after which an automatically generated email with an access code will be sent to the specified address for confirmation. Attention! The link is valid for only 72 hours;

  4. you must confirm your email address by entering the access code and the last 5 digits of your phone number, after which you create your own password to access Yedyna Shkola;

  5. you must download the mobile application and log in to the System.

If you have not received a message with the access code, you should contact your class teacher or the system administrator at the school to verify the phone number entered into the database.

For your child to gain access to «Yedyna Shkola», you must be authorized in the System and create an “Electronic Diary” for your child in the mobile application by entering the child’s login (the child’s mobile phone number entered into the System database) in your profile, as well as creating a password for the child that must consist of Latin letters (both uppercase and lowercase) and numbers. The System uses a single password to access both its web and mobile applications.

A child will appear in the parents’ Electronic Diary only if each educational institution where your children study is connected to «Yedyna Shkola». If parents have several children but see only one child in the application, they should contact the class teacher of the child whose data is not displayed.

Since online lessons are conducted according to the scheduled timetable, a student cannot be present at several different lessons at the same time.

Yes, a teacher can provide links to learning materials, tests, and other materials created on external resources by including them in the homework. Text, video, audio, and image files in various formats can also be attached to the homework.

In the «Yedyna Shkola» System, a student can submit responses to homework for further review by the teacher, including attaching additional files in any format (as long as their size does not exceed 100 MB). If a file exceeds 100 MB, it can be uploaded to Google Drive, and a link to the file can be added to the response. To receive, download to a device, or send text, video, audio, or image files, it is necessary to grant the required permissions in the phone settings or when prompted by the smartphone while attempting to open a file.

In the System, a teacher can provide links to learning materials in accordance with copyright legislation. At the same time, the «Yedyna Shkola» website contains useful links to libraries that host electronic textbooks.

The Electronic Diary (mobile and web application) is designed to support students in the learning process: viewing their class schedule; accessing grades; receiving homework; analyzing their academic performance based on statistics; and participating in online lessons and testing.

To access the Electronic Diary, it is necessary that:

  1. the school where you study is connected to the System;

  2. your parents have provided the educational institution with consent for the processing of your and their personal data in the System. If you are an adult, you provide consent for the processing of personal data yourself;

  3. your parents are registered and authorized in the System and have created an Electronic Diary and a password for you. The System uses a single password to access both its web and mobile applications.

If you have not gained access to the System, your father should check that your phone number was entered correctly in the System (and recreate the child’s Electronic Diary if necessary). If the issue is not resolved, please contact the Support Service.

If you have not reached the age of majority, it is not possible to gain access to «Yedyna Shkola» without parental consent. According to the System’s rules, only your parents can decide whether to grant you access to the System. If you are of legal age, please contact the support service for individual registration in the System.

The requirement for grade confidentiality is strictly observed in the System. Your academic achievements are accessible only to you and your parents. Parents and students cannot see the grades of other students in the class. The teacher records grades in the Electronic Journal, which, in accordance with the regulatory documents of the Ministry of Education and Science, can be viewed by the class teacher and the school principal or their deputy.

Data entered into electronic journals can be corrected/adjusted by teachers who have such rights when maintaining paper versions and are granted these rights in the System. The System allows the teacher to record the reason for changing a grade.

A grade for a specific type of assignment (including written work) may be assigned within the time frame предусмотренного the standards for checking such assignments (including cases where checking takes several lessons or over a certain period).

Yes, a teacher can write separate comments for students during the lesson, separate comments for parents, and also make notes for themselves while assessing the results of your learning activities.

Currently, access to online lessons is available only through the web version of the “Electronic Diary” module. If necessary, a student can open the browser version of the System on a mobile phone.

Since online lessons are conducted according to the scheduled timetable, you cannot be present at several different lessons at the same time.

In the «Yedyna Shkola» System, a student can submit responses to homework for further review by the teacher, including attaching additional files in any format (as long as their size does not exceed 100 MB). If a file exceeds 100 MB, it can be uploaded to Google Drive, and a link to the file can be added to the response. To receive, download to a device, or send text, video, audio, or image files, it is necessary to grant the required permissions in the phone settings or when prompted by the smartphone while attempting to open a file.

In the System, a teacher can provide links to learning materials in accordance with copyright legislation. At the same time, the «Yedyna Shkola» website contains useful links to libraries that host electronic textbooks.

The organization of work in the System complies with personal data protection legislation. The Privacy Policy published on the System’s website defines the conditions for processing personal data. Educational institutions must inform teachers and parents about the processing of their personal data and obtain consent for such processing in the System. The scope of data is limited to what must be included in school paper documents according to approved templates. Measures are defined for data anonymization in case consent is not obtained.

The System provides user guides for students, as well as video instructions. If necessary, we participate in meetings with parents organized by schools and provide explanations on how to use the System’s services. Upon request from educational institutions, a separate webinar can be held for parents and students.

When working in the System, it is prohibited to:

  1. share your login and password with third parties;

  2. grant third parties access to the personal data of teachers, students, and their parents;

  3. use links to resources, files, or documents that violate the copyright of third parties or the legislation of Ukraine;

  4. use access rights to the System to interfere with its operation;

  5. create disruptions in the functioning of the System.

The System provides users with round-the-clock access to its services via the Internet, as well as technical support during working hours, except for summer holidays and periods of scheduled (technical and maintenance) work.
